Speed to lead: why the first reply usually wins the job
Leads cool off fast. In research published in Harvard Business Review, companies that tried to reach a new online lead within an hour were nearly seven times as likely to have a real conversation with a decision maker as those that waited longer. An instant auto-reply plus a same-hour follow-up is the simplest way to be first.
Most small businesses don't lose leads because their work isn't good. They lose them because someone else called back first.
What the research says
In 2011, Harvard Business Review published an audit of 2,241 US companies' responses to online leads. Only 37% responded within an hour, 24% took more than 24 hours, and 23% never responded at all.[1]
A separate analysis in the same article looked at 1.25 million leads. Firms that tried to contact a lead within an hour were nearly seven times as likely to qualify it (meaning a meaningful conversation with a decision maker) as firms that waited even one hour longer, and more than 60 times as likely as firms that waited 24 hours or more.[1] The study is from 2011, but customer patience hasn't gone up since.
Expectations are only getting tighter. HubSpot reports that 82% of consumers rate an immediate response as important or very important on sales and marketing questions, and most define immediate as 10 minutes or less.[2]
When someone reaches out, they're usually messaging two or three businesses at once. The one that answers first gets to set the tone of the whole conversation.

Where leads leak
- Contact forms that email a personal inbox nobody checks on weekends
- Instagram and Facebook DMs spread across three apps
- Missed calls with no text-back
- No record of who asked what, so follow-ups never happen
The fix: one inbox, an instant reply, and a nudge
- Every website inquiry and quote request lands in one place
- The customer gets an instant, personal-sounding reply by email or text confirming you got it and what happens next
- You get a notification on your phone with their details
- If nobody has followed up after a set time, you get a reminder
The auto-reply isn't meant to replace you. It buys you the hour. The customer knows they've been heard, and you call back with their details already in front of you.

One note on texting: business text messages in the US generally require carrier registration (10DLC) and clear opt-in. We handle that setup so your messages actually get delivered.

Common questions
What is speed to lead?
Speed to lead is how quickly a business responds to a new inquiry. Research published in Harvard Business Review found that trying to reach a lead within an hour made companies nearly seven times as likely to qualify it as waiting even one hour longer.
Will an auto-reply feel robotic to customers?
Not if it's written well. A short, specific reply that confirms what they asked about and what happens next feels like good service. It should always lead to a real person following up.
How much does lead capture and auto-reply setup cost?
Topp Level Marketing's Lead Capture + Auto-Reply is $600 flat and usually takes about a week.
